With the submenu **Flex, **you can manage the** **variable fuel costs of the freight price in a fully automatic manner. You can enter as many fuel floaters as required, creating them according to your agreements with the logistics service providers (LSP). Create individual fuel floaters and manage the underlying price indices.

> ℹ️ The price index refers to the periodically published fuel costs per liter. ELOGATE uses the official prices coming from the *[Federal Ministry Republic of Austria - Climate Action, Environment, Energy, Mobility, Innovation and Technology](https://www.bmk.gv.at/themen/energie/preise/aktuelle_preise.html)*. The price index is used as the starting point for the fuel floater to be defined by the user and creates the basis for possible freight rate surcharges or discounts.

# All price indices

All price indices created for your user group are listed in the menu item **All price indices **on the left-hand side. The values of the predefined indices are automatically maintained by ELOGATE and can be displayed by the user at any time and are used to create floaters.

## Index Operations

### Show price index

To display a price index, either click on the 🔎 button to the left of the desired index** **or click on the 🔽 button next to the 🔎 icon and select **Display price index** from the drop-down menu. Indices predefined by ELOGATE cannot be changed. It is possible however to track the progression of the fuel costs in a diagram. To specify the selection, select the desired period of time by filtering the column **Valid from **in the tab **Values**.

### Create a price index

If you do not want to use any of the predefined indices, you can create your own index and manually enter the fuel price. To do this, click on the :plus: **Create a new price index **button on the top right-hand side of your screen. In the next step, in tab **General **enter the name of the index, select the currency to be used from the dropdown list and add a description of the index. When enabling the checkbox > Macro (inline-media-image)

, your index can be viewed also by other user groups. If the checkbox **Public** remains disabled, the index can only be viewed by your user group. Finally, click on 💾 **Save** to confirm your entry, or click on the :cross_mark: **Cancel** button to return to the previous screen.

### Edit price index

Retrieve the saved index and con the 🔽 button next to the 🔎 icon and select **Edit price index** from the drop-down menu. Go to the tab **Values **and then click on the  :plus: **Insert **button to enter the desired fuel price. A new window opens where you need to specify the **Valid from** date and the price. Click on :plus: **Insert** to confirm your entry, or click on the :cross_mark: **Discard** button to return to the previous screen.

Finally, click on 💾 **Save** to confirm your changes, or click on the :cross_mark: **Cancel** button to return to the previous screen.

> ℹ️ In order to display the values in the diagram, you must enter at least 2 values!

### Delete price index

To delete a price index, click on the 🔽 button next to the 🔎 icon and select **Delete price index** from the drop-down menu. Confirm the delete operation with 🗑️ **Yes, delete** or click on the :cross_mark: **Cancel** button to return to the previous screen.

## Floater Operations

### Create a new position-based floater

To create a new floater, click on the 🔽 button next to the index for which you want to create the floater and select :plus: **Create position-based floater** from the drop-down menu. 

> 📝 If you create a position-based floater, the index-linked price share indicated for the respective position will be used. If the registered LSPs in the [https://jirasatiamo.atlassian.net/wiki/spaces/BM/pages/27787334](https://jirasatiamo.atlassian.net/wiki/spaces/BM/pages/27787334) have no floater assigend, no fuel surcharge or discount will be applied.
> 📝 
> 📝 An index-linked price share (IGP) is the share of the all inclusive freight costs that is linked to an index (fuel price index). LSPs usually describe the fuel cost portion in their total cost using an index-linked price share.
> 📝 
> 📝 The index-linked price share defines to which amount of the total transport price the fuel floater applies. We recommend 100%, nevertheless you can choose another value.

> ℹ️ Preferebly, search for the so-called **Treibstoffpreismonitor **in the submenu **All price indices**. Following, click on the 🔽 button next to the 🔎 icon and select **Create position-based floater** from the drop-down menu.

A new window will open. First, in the tab **General** enter the name of the floater and add a description. 

Second, in the tab **Dates **select the adjustment interval. The interval defines the update of the fuel floater. The following options can be selected from the dropdown list:

- Manual
- Weekly
- Monthly
- Quarterly

For the “Valid from” date, select the desired starting date for the floater. The fields (*Last Update) *and *Next update *are filled automatically by ELOGATE*.*

Third, the tab **Adaption **defines the freight price calculation. Insert the base value on which the floater calculation is based. Select the calculation direction from the dropdown list:

- bi-directional (recommended)
- >= 0
- <= 0

For the corridor adjustment, define whether the corridor adjustment of the below *corridor range *is based* *on absolute values (in cents) or percentage values. The corridor range describes the limits (maximum and minimum) within which the fuel price can move without triggering a price change. 

> ℹ️ As best practice ELOGATE recommends an absolute corridor range of 0.050 €.

Enter the surcharge in the “Surcharge +/- in %” field.

> ℹ️ As best practice ELOGATE recommends a surcharge of +/- 1%.

If you choose the absolute or manual price corridor, you have the possibility to specify a 0 % corridor. This is the corridor range around the base value for which the surcharge is 0%. Enter the max. and min. 0% corridor.

> ℹ️ As best practice ELOGATE recommends a 0% corridor range of 0.100 €.

In the “Calculation of the reference value” field, you can select between the arithmetic average of the last period/several periods and the last value previously defined in the tab **Dates**. If you have chosen the arithmetic average of several periods, you are able to adjust the number of periods for which the calculation should be valid in the field “Observation period”.

> 📝 The* Observation Period* determines the period (in months) which are considered for the reference value determination. 0 months mean, that the previous month is considered. + 1 month would mean that the last *two *months are considered.

To derive the reference value determination, you can also skip months. In case the value is set to “0”, no months are skipped. However, if you state -1, one month is not considered for the reference value determination. The below example will illustrate, how it works.

> ℹ️ Current Month: Let us assume that we are currently in **April**, hence the average is calculated on the diesel prices in **March.**

> ℹ️ Reference vlaue determination: arithmetic average
> ℹ️ 
> ℹ️ Observation Period: +1 month → If we now increase the *observation period *to “+1”, then the average is calculated from **March** and **February**.
> ℹ️ 
> ℹ️ Skip Period: -1 month → In addition, if we now set the *skip period *to “-1”, then March is skipped, and the average is calculated from **February** and **January**.

> ⚠️ By default, Elogate uses FLEX4. This value should not be changed.

Now click on 💾 **Save** to confirm your entry, or click on the :cross_mark: **Cancel** button to return to the previous screen.

> ℹ️ By default, the floater is applied when the transport order is created. You can define a status to trigger a recalculation based on the status transition of a loading (shipment in the loading plan).

# All floaters

In the submenu **All floaters**, you can display, edit and delete floaters that have already been created.

### Display floater

To display a floater, either click on the 🔎 icon or click on the 🔽 button next to the 🔎 icon and select **Display floater** from the drop-down menu.

### Edit floater

If you want to edit a floater, click on the 🔽 button next to the 🔎 icon and select **Edit floater** from the drop-down menu. Perform the changes in the tabs **General**, **Dates**, and **Adoption** and click on 💾 **Save** to confirm your entry, or click on the :cross_mark: **Cancel** button to return to the previous screen.

### Delete floater

In order to delete a floater, click on the 🔽 button next to the 🔎 icon and select **Delete floater** from the drop-down menu.  Confirm the delete operation with 🗑️ **Yes, delete** or click on the :cross_mark: **Cancel** button to return to the previous screen.  

# All currency floaters

In the submenu **All currency floaters** you can create a new currency floater or display, edit and delete already created floaters.

### Create currency floater

To create a new currency floater, click on the button :plus: **Create currency floater** in the top right-hand corner. A new window will open. First, in the tab **General** enter the name of the floater and add a description. 

Second, in the tab **Dates **select the adjustment interval. The interval defines the update of the currency floater. Tick the box **Will be updated manually**, if you want to manually update the values. Otherwise, let the checkbox disabled and click on the ⚙️ icon to adjust the Cron-Builder (see picture below).

In the tab **Adaptation** you have to choose a target currency, to which the prices should be converted. If you choose the manual adaption you have to choose both the actual value, the base currency, and the target currency.

Finally, click on 💾 **Save** to confirm your entry, or click on the :cross_mark: **Cancel** button to return to the previous screen.

### Display currency floater

To display a currency floater, either click on the 🔎 icon or click on the 🔽 button next to the 🔎 icon and select **Display currency floater** from the drop-down menu.

### Edit currency floater

If you want to edit a currency floater, click on the 🔽 button next to the 🔎 icon and select **Edit currency floater** from the drop-down menu. Perform the changes in the tabs **General**, **Dates**, and **Adoption** and click on 💾 **Save** to confirm your entry, or click on the :cross_mark: **Cancel** button to return to the previous screen.

### Delete currency floater

In order to delete a currency floater, click on the 🔽 button next to the 🔎 icon and select **Delete currency floater** from the drop-down menu.  Confirm the delete operation with 🗑️ **Yes, delete** or click on the :cross_mark: **Cancel** button to return to the previous screen.
